Hi Julia,

>From an administrator, and user point of view Sharepoint portal extranet
and intranet for Intrahealth has definitely improved how we collaborate
on just about anything.

I can give you some insight from a systems administrator point of view
about the release of our extranet platformed on Sharepoint Portal, and
someone else from the Intrahealth IT group can give you more from a
training perspective.

- Something useful for other admins to know is that SPS 2003 does not
have an easy way to do item (document) level backup or restore. This
was an issue in training people to rely on the alerts that they receive
from Sharepoint as site or team site administrators. There are only a
small handful of third party vendors that provide such a level of back
and restore for Sharepoint. AS with any other system, establish what
level of redundancy is needed, tolerated, or nice to have, and work
towards that. Not even Veritas products can offer the item level
restore.

- Once an energy or interest was established amongst certain users, it
was advantageous to meet with them on a regular basis, to go over any
issues, questions or tips and tricks about Sharepoint. Some of these
people were then championed to be team site administrators for their
respective unit or organization. If they were in need of expertise they
could always bring their questions back to one the Advisory group
meetings or inquire with the helpdesk. This helped by de-centralizing
the site administrative tasks of Sharepoint thus allowing more IT
attention to be focused on the backend administrative tasks. It also
empowered the users and their site admins by giving them a product that
they could "own" in a sense.

- So far all users feel comfortable with uploading, editing, and using
the check out functions for documents and or materials. Putting it in
their hands and giving them the knowledge was the only true way to allow
them to work collaboratively. The limitations and settings are decided
and set by their site administrator who is usually someone within their
immediate team.

- The central group of Sharepoint power users also give presentations
from time to time on various tips and how to's that they have learned on
Sharepoint. For each team, there are different requirements, levels of
collaboration, and settings for their site, so each presentation given
gives a different perspective on how to use a Sharepoint team site.

Shannon Turlington is the IT person who championed the overall
Sharepoint initiative from incept to present usage. She has been
extremely important in establishing the implementation, overall
guidelines, construct, and knowledge sharing for our Sharepoint portal
system. She will no doubt have valuable input for your also.

This does not cover all of your questions on SHarepoint...just my
experience as a sysadmin, but Sharepoint can be THAT big of a system. I
will encourage more of my cohorts to input their knowledge and
experience. So more to come...

Hi Everyone,

Some of your people have been talking with ours, and I'd love to ask
some specific questions to Intrah re: the new CAPACITY portal. Here we
go:

1. Can you share with us some lessons learned regarding training your
staff in use of this platform to share knowledge?

2. Can you share with us some lessons learned regarding how you've
handled uploading documents/materials? In other words, do you have a few
people who do it? Did you train everyone to do so? Would you share any
criteria you developed regarding what is and isn't uploaded?
