Hi all,

seems to be a slight preference for D, which means that we'd pool resources from which the affiliates can then apply for travel. We'd naturally favor regional meetings, participation from as many affiliates as possible, and I'd try to increase the size of the pool as we go along. Let me get back with a more concrete proposal in a short while.

Hi
I think D is probably the one I favor the most.

Hi all,

I'm sorry to have kept everyone waiting for more information about the upcoming regional meetings. Especially for the 4.0 discussion, I've tried, together with Diane Peters, to figure out what is the best opportunity and we're now aiming for the first proposed date, the 1st of May 2012 in Berlin, before the Re:Publica conference. If you're interested in participating in the 4.0 process, you should book that date in your calendar, and I will try to provide more information about the program, location, etc, shortly.

In related news, I'm just getting some more definite budget numbers from CC HQ so I have a better idea of what we can potentially spend on the regional meetings. It's definitely not as much as the budget for the Global Summit, but it's better than nothing. Ear-marked for the regional meetings we'll have $2,000 to spend, and in addition to this we have another $10,000 from which I can allocate $1,000 to each thematic meeting.

I can see a few different ways in which we can spend this money. It's not enough to cover the travel for all affiliates, even if we just had one event, so we need to look at various options to fund parts of the costs. Once there's an idea for how to spend the money, I can run this through Jessica and others and make sure that we can spend the money in this way.

Here are my proposals. Feel free to add more proposals if you think it's relevant! I base these proposals only on HQ funding. If we find other sponsors in one way or another, we can revise our plans.

Proposal A: We split the money evenly among all participating affiliates. With an average of 15 participating affiliate, it'll get to ca $133 per affiliate for the September meeting and $66 for each thematic meeting (like the 4.0)

Proposal B: We use the money to pay the food (lunch & dinners) for everyone participating.

Proposal C: We give out $200 grants to the affiliates that really need it in order to attend (so we could give out 10 for the September meeting and 5 for each thematic meeting)

Proposal D: We establish a system of Minor Travel Grants of $100-$400 from which affiliates can apply if they need funding. We'll setup a committee of affiliates to decide on the applications.

I would be slightly in favor of proposal D. We'd need to setup a committee of affiliates to work on this, but it'd also be easy to expand on if we find external funding, and it could potentially cover other travel too, not only to the regional meetings.

What are your thoughts?
