Dear colleagues:
this is a further email regarding the planning of sessions for the Global Summit. Since my last email, we have consulted with Jessica and others of how to proceed from here and the agreed process is slightly different to what I proposed in my last email).
The bottom line is that all ideas (i.e., our top three ideas - poster sessions; unique African CC-licensed things; regional collaboration - as well as all other ideas we still want to pursue further) need to be submitted via this website: https://donate.creativecommons.org/civicrm/event/register?reset=1&id=12 Can we please ask those who have proposed these ideas to do this asap as the proposal deadline is 17 July. (You may even propose new ideas but if you do this, please capture them in our google doc, too - the link is below). In August, session proposers will be notified by the selection committee whether their proposals were accepted or not. Only then will we have a Skype planning call with session leaders.
The three ideas that came out on top of our doodle poll will be marked as *high priority* by us for the selection committee to reflect that they won the ccAfrica doodle poll. The final decision will, however, be made by the selection committee and that may also mean that some of our ideas may be combined with similar ideas put forward by other regions.

I believe that Kelsey, Aristarik and Kayode are part of the GS Planning team and Alex and I will reach out them today to further discuss this and any other GS issue - incl. the issue of invitation letters and documents from CC HQ that could help local fundraising (support letters and concept notes).

last Friday, the doodle poll closed for ideas from Africa for the Global Summit ( http://doodle.com/b2a8u78na2375qz9). At this point, we have three leaders but I have also noticed that additional ideas were still added to the general planning google doc ( https://docs.google.com/spreadsheets/d/1-5YNxLSjKeTrw5lH7x2Ei16MoNsTDldvA53Sk0kR7Kc/edit#gid=0) (but not to the poll). To be completely honest, I am not entirely sure what the next step should be - on the one hand I had planned to organise a skype call with those who had suggested the winning ideas - on the other hand, however, I feel a bit sad to lose all the other great ideas. And I am not sure whether we really have to conine ourselves to just three ideas. I therefore suggest the following approach.
1. the top three ideas (poster sessions - unique African CC-licensed things-regional collaboration) will be pursued and we will indeed have the promised call after my return from Cairo next week.
2. Those who have suggested other ideas will go back to the google doc in the next couple of days to determine whether their idea can be incorporated into one of the winning ideas and make a note to this effect in the google doc. Alternatively, merging some of the ideas that didn’t win can also be suggested.
3. If you proposed an idea that did not win and you feel that this idea cannot be merged with another idea but that we should still do this, please make a note to this effect in the document. This is for cases were you feel very strong about your idea and you will be tasked to lead this item should we eventually pursue it.
4. Next Friday (19 June) I will share this updated list with Soohyun, the RC for the Asia Pacific region, who is also part of the planning committee. She can then let us know whether there are similar ideas from other regions, which would enable us to organise sessions together. I will also aks her for her general feedback and after this we start the planning process of how to take this further.
It would be good to get a bit of feedback as to whether you agree with the proposed way forward or whether you suggest to tackle this differently.
[By way of update: I have not heard back yet from CC HQ with regard to (a) the composition of the GS planning committee, (b) the provision of support letters and concept papers to facilitate local funding, and (c) our request for general invitation letters. I have followed up on all these issues and I have also added them to the google doc in a separate sheet (“Issues”)so that you can track progress (and add further issues you want us to attend to). We will keep you in the loop.]

Kelsey, thank you very much for pushing this forward. While Alex and I have been rather quiet on this we were following this discussion with great interest, and we proudly reported to the other RCs and Ryan during last week’s skype call that the pooling of ideas here happens organically, bottom-up and truly affiliate-driven. This is very much aligned with Ryan’s intentions in that he was quite clear from the outset that regional participation in the planning of the Summit should not be something that is primarily RC-driven. As a result, we were, for instance, discouraged from participating in the GS planning committee.
Btw, is anybody on this list now officially a part of the planning committee? I am not sure whether a final selection has already taken place but I am happy to follow up with Paul Stacey if nobody was invited as yet.
The ideas captured in the spreadsheet ( https://docs.google.com/spreadsheets/d/1-5YNxLSjKeTrw5lH7x2Ei16MoNsTDldvA53Sk0kR7Kc/edit#gid=0) are all great and while I have voted I am happy to be overruled. Whatever ideas are selected we will support as RCs. Ideally, I would like to see affiliates as project managers but if we see that this becomes a problem (e.g., because of lack of time of the affiliate in charge) we will of course provide support or even take over. We should have more than one project manager.
Now, at this point there is little else to add from our side. But I want to strongly encourage all of you to vote on the ideas put forward. I believe the agreed deadline is 5 June. So why not taking a moment now to quickly vote ;-) Here is the link again: http://doodle.com/b2a8u78na2375qz9
In terms of next steps, I suggest that once the results are in we schedule a skype call (ideally next week) with those who have proposed the winning ideas and those generally interested in taking this further. The results of that call should then be communicated to Paul Stacey and the organising committee to plan how these ideas can best be incorporated into the Summit programme. I have noted, however, that not all ideas are actually for programme items, correct? The Mix tape or culture book ideas, for instance, require the actual work to be completed before the summit and what we could do in South Korea is some kind of launch events I suppose.
Oh, one last thing - prompted by Simeon’s remark about him planning a (global) session on School of Open. Can everybody proposing such ideas (other examples would be the Cookbook or Women in Open Workshop) please also capture them in the google doc: https://docs.google.com/spreadsheets/d/1-5YNxLSjKeTrw5lH7x2Ei16MoNsTDldvA53Sk0kR7Kc/edit#gid=0 I have created a second sheet (called “global”) for this. That way this google doc can become some sort of master document for what affiliates from Africa contribute to the Summit.
